Here’s exactly what happened and what I did.
How it started
On September 24, 2026, I paid $0.95 to use TheBestPDF for a one-time document-related task.
I understood that I was paying for a cheap trial and didn’t realize I would subsequently be charged .
On October 7, I noticed the $39.95 charge.
I immediately canceled my subscription, contacted customer support, and requested a refund. I hadn’t used the service after the renewal.

Their customer support team repeatedly refused my request.
Different representatives responded with essentially the same explanation:
I had agreed to the subscription terms.
The trial automatically converted into a paid subscription.
Their Refund Policy stated that payments were non-refundable.
My subscription was canceled, but they couldn’t refund the $39.95.
I received responses from multiple support agents, but none initially offered a solution.


Instead of accepting the first rejection, I repeatedly asked for my case to be reviewed by a supervisor or billing manager.
I explained that I had only intended to use the service once, that I contacted them immediately after noticing the charge, and that I hadn’t used the renewed subscription.

The company argued that the subscription terms were provided during registration.
I acknowledged that a post-purchase confirmation email mentioned the $39.95 renewal. However, my concern was whether the recurring charge had been sufficiently clear and prominent .
I didn’t claim that my initial payment was unauthorized. I explained exactly what I had understood when making the purchase.

I explained that $39.95 was a meaningful amount of money to me and asked them to consider my financial circumstances.
I wasn’t interested in extended access, subscription credits, or alternative offers. I wanted my money back.

After repeated refusals, I submitted a dispute through my bank regarding the recurring subscription charge.
I also informed TheBestPDF that I had initiated the dispute.

I researched the company and identified XAFENIL LIMITED, a Cyprus-registered company associated with TheBestPDF.
I informed customer support that I was proceeding toward a formal complaint with the relevant consumer protection authority in Cyprus.
I made it clear that I would provide the complete email correspondence and transaction records.

I saved the original payment confirmation, the subscription cancellation, every refund refusal, and the responses from their senior support team.

After approximately , including several explicit refusals and even a message describing their decision as final, I received another response from Malcolm, a Senior Support Specialist.
This time, he said:

Shortly afterward, I received an official email confirming:

The refund confirmation referenced a Mastercard ending in different digits from my physical card. Support explained that this was because I had used Apple Pay, which uses a virtual card number.
At first, the original charge was still pending at my bank. A couple of days later, the charge was finalized, but the refund hadn’t appeared yet.
I followed up again to request a refund tracking reference.


If you’re dealing with a similar situation:
Don’t assume the first refund rejection is necessarily the final outcome.
Be persistent, but stay professional.
Ask for escalation to a supervisor or billing manager.
Explain your actual circumstances rather than making exaggerated claims.
Keep copies of all correspondence.
Consider your bank’s dispute process if the merchant refuses to resolve the issue.
Research the appropriate consumer protection channels if necessary.
Don’t confuse a refund confirmation email with the money actually arriving in your bank account.
I can’t say which specific step convinced TheBestPDF to refund me. It may have been the escalation, the repeated requests, the bank dispute, the consumer complaint notice, or a combination of those factors.
I also didn’t need to complete a Cyprus consumer protection complaint because the merchant ultimately processed the refund.
